Case Study: Streamlining eFront for scalable private equity operations

Streamlining eFront operations

A private equity firm engaged it|venture to support a major enhancement to their eFront platform. The objective was clear: onboard new teams to work in the system securely and independently, while migrating their data into a clean, segregated structure.

Although the client was a mature user of eFront, they lacked the technical depth and experience required for a multi-team rollout and data migration at scale. That’s where it|venture stepped in.

We partnered with the client across three key workstreams:

  • Data migration
  • System configuration
  • Training and documentation

The client had multiple fund datasets maintained in Excel, which needed to be imported into eFront in a format that supported partitioned access for teams and geographies.

We:

  • Designed and built import templates tailored to the client’s fund data.
  • Migrated datasets efficiently using our deep understanding of eFront’s data structures.
  • Segregated data by region to support team-specific access.
  • Conducted iterative rounds of testing and refinement.

Our involvement meant that we were able to execute the migration well ahead of deadline, and on budget, whilst maintaining data integrity and structure.

Beyond the data itself, the system needed to be configured to reflect the organisation’s team structure and governance requirements. This involved technical configuration including role-based access, user interface customisation, and workflow setup.

Our configuration work included:

  • Limiting data visibility based on user role and region.
  • Designing screens and available actions to reflect what each team needed to do, whilst providing no out of scope features.
  • Creating workflows for team-specific review and approval processes.
  • Implementing access controls to enforce secure data handling.

This allowed the client to operate confidently in eFront, with clearly defined boundaries and responsibilities between teams.

Once the system was configured and populated with clean data, we focused on adoption. We ran demo sessions with different teams to showcase how they could perform their tasks without interfering with others. This hands-on approach was complemented by clear documentation.

As a result:

  • Internal users were able to work independently with the system.
  • Additional teams could be onboarded without further technical intervention.
  • The client developed the confidence to expand their use of eFront as the business grows.

The client now benefits from:

  • A fully configured eFront platform, tailored to their business model.
  • Structured, secure data accessible only by the appropriate teams.
  • Additional teams now actively working in eFront, supported by robust workflows and clearly defined access controls.
  • An internal team empowered to maintain and scale the system over time.
